2. What matters to us

Your data is safe with us. We comply with the GDPR, the German Federal Data Protection Act and the corresponding UK rules (UK GDPR and Data Protection Act 2018).

We only collect the data we really need, and delete it again as soon as we no longer need it and no retention obligation applies.

3. Hosting and server logs

Our website runs with a professional host based in the EU. The servers are predominantly within the European Union.

When you visit our website, we automatically store a few technical details:

  • IP address (shortened)
  • Date and time of your visit
  • Browser and version
  • Operating system
  • Where you came from (referrer)
  • How much data was transferred

We do this so our website runs stably and securely (Art. 6(1)(f) GDPR). After 7 days this data is deleted automatically.

4. Cookies and consent

We use cookies. These are small text files stored on your device.

We need technically necessary cookies for the website to work at all. We don't have to ask you separately for those.

We only set analytics and marketing cookies if you consent beforehand. You can withdraw your consent at any time via the cookie settings.

5. Tools for statistics and marketing

If you consent, we use common tools to understand how our website is used and where we can improve. This usually only processes pseudonymised data, i.e. no directly identifiable information.

We typically use:

  • Reach-measurement tools (predominantly EU-based)
  • Marketing and conversion tracking from major providers
  • Heatmap and session-recording tools

You can see which tools we currently use in our cookie banner. There you can switch each one on or off individually.

If data is transferred to the USA, we protect it via the EU-US Data Privacy Framework and EU Standard Contractual Clauses. To be honest: the level of data protection in the USA is not quite as high as in the EU.

6. When you contact us

Whether by contact form, email, WhatsApp or phone: we process what you tell us in order to handle your request. Depending on the case, that's name, company, email, phone and the content of your message.

We store this data until your request has been dealt with. Where statutory retention periods apply (commercial law usually 6 years, tax law 10 years), we keep it for longer accordingly.

7. Appointments and demos

For appointments and consultations we use common CRM and booking tools as well as established video-conferencing providers, predominantly based in the EU. If a provider is based outside the EU, we ensure a secure data transfer via appropriate contracts.

For a booking we process name, email, phone and your preferred time.

We may record calls to ensure quality or train our team. We tell you in advance and obtain your consent. You can decline the recording at any time, with no disadvantage to you.

8. How we handle data when we work for you

A key principle of our work: your customer data stays with you.

We build websites, automations, voice agents, WhatsApp systems and CRM architectures for you. Here's what applies:

  • Your end-customers' data lives in your infrastructure, not with us
  • We provide the technology and support without operating central data storage ourselves
  • If we do need to access personal data in your systems, we conclude a data processing agreement (DPA) with you
  • You remain the controller for your end-customer data under data protection law

9. Who has access at our end

Only our permanently employed staff access data and systems, and only when it's needed for the work. All staff are bound to confidentiality and trained in data protection.

10. What happens to your data after the contract ends

When our collaboration ends, we keep your master data for another 6 months. We do this so we can still help you with follow-up questions, warranty or tax matters. After that we delete or anonymise the data, unless statutory retention obligations prevent it.

Want to be deleted immediately? Send us a short message and we'll take care of it promptly, as far as legally possible.

Need to take your data with you? Depending on the product, we can provide your data in a common format so you can hand it to another provider.

11. Data in the USA

As our company is based in the USA, certain data is transferred there. We've put clean foundations in place for this:

  • EU-US Data Privacy Framework (where the recipient is certified)
  • EU Standard Contractual Clauses under Art. 46 GDPR
  • Technical safeguards such as encryption and access control

12. Credit checks and outstanding claims

When we conclude a contract with you, or if you fail to pay an invoice, we reserve the right to obtain a credit report or hand outstanding claims to our partners:

  • Creditreform and Creditreform Inkasso for customers from Germany, Austria and Switzerland
  • Experian Business UK and comparable British partners for customers from the United Kingdom

We transmit: name, address, contact details, invoice data, payment history and, where applicable, VAT/UStID number.

13. Your rights

You have the right at any time to:

  • Access - what data we have stored about you
  • Rectification, if something is wrong
  • Erasure of your data
  • Restriction of processing
  • Portability of your data to another provider
  • Object to processing
  • Withdraw a consent once given

Just write to us: [email protected]

UK customers have the same rights under UK GDPR and the Data Protection Act 2018.

14. If you want to complain

You can complain to a data protection supervisory authority at any time, for example at your place of residence or work.

German authorities: www.bfdi.bund.de. For the UK, the Information Commissioner's Office (ICO) is responsible: www.ico.org.uk

15. Changes to this privacy policy

We may adjust this privacy policy when the legal or technical framework changes. The current version on this website always applies. For important changes we inform existing customers directly.
